User Data Deletion

This page explains how to permanently delete your Leadmeadow account and all data we hold about your business and the leads you have managed through our service. There are two ways to do it: self-serve from your dashboard, or by writing to us. Both result in the same deletion.

1. What gets deleted

When you request deletion, the following is removed from our production database within 30 days:

  • Your account record — email, password hash, business name, business description, AI configuration, plan, message counters.
  • Your encrypted WhatsApp credentials — phone number ID, access token, app secret, WABA ID.
  • Every lead you have managed through Leadmeadow — phone numbers, names, emails, sources, statuses, notes.
  • Every WhatsApp message exchanged through your business number via Leadmeadow, in both directions, with timestamps.
  • Any uploaded business documents (PDFs) and the extracted text used to ground the AI.
  • Outbound webhook URLs, redeem-code redemption history tied to your account, and any sandbox session you created.

2. What we may retain (and why)

A short list of records is kept after deletion, only where law or essential security obliges us to keep them:

  • Billing and tax records — Dodo Payments invoices linked to your subscription. Retained for 7 years where required by tax law in our processor's jurisdiction. These contain billing identity and amounts only, not service data.
  • Security audit logs — minimal records of administrative actions (such as redeem-code generation) may be kept for up to 12 months for fraud and abuse review.
  • Backups — encrypted database backups roll over on a 30-day cycle. Your data will be purged from the most recent backup within 30 days of deletion.

Nothing in this list is shared with third parties, advertisers, or analytics providers. We do not sell data, ever.

3. Self-serve deletion (fastest path)

If you are logged into Leadmeadow:

  1. Go to Settings in your dashboard.
  2. Scroll to the bottom of the page and click Delete account.
  3. Confirm by re-entering your password.

The account is queued for deletion immediately. Your dashboard logs out, your WhatsApp integration stops sending and receiving messages, and the records listed in §1 are purged within 24 hours. Backups roll over within 30 days.

4. Deletion by email

If you cannot log in (account locked, lost password, etc.) or you are a Lead asking us to delete data that a business holds about you, write to:

For Customer requests: send the email from the address registered on your Leadmeadow account so we can verify it is you. We may ask one or two additional questions to confirm identity before deleting anything irreversibly.

For Lead requests: include the business that messaged you (or their WhatsApp number) and the phone number on which you received messages, so we can locate the right records. Where possible, please first ask the business directly — under data protection law they are the controller of your information and Leadmeadow is the processor acting on their instructions. If they cannot or will not help, we will route the request and respond within 30 days.

5. Confirmation

You will receive a confirmation email when your data has been deleted. The email is sent from the support address above and will reference the request date. Keep it for your records.

6. Reactivation

Once data is deleted, it cannot be recovered. If you change your mind and sign up again later, you will start with a fresh, empty account — previous leads, message history, and configuration are not restored.
